The structure, tone, and timing that separates winning quotes from the ones that go silent. Works for any trade.
Most quotes do not lose because of the price. They lose because the client has three of them on the kitchen table and one of them feels easier to say yes to. Your job, before you ever talk about price, is to be the easy yes.
Winning quotes share four traits. They arrive fast, they read clearly, they price the right things, and they make the next step obvious. Do those four things consistently and your win rate climbs without you discounting.
Speed beats polish
A good quote sent today beats a perfect quote sent on Friday. Clients call three trades, and the first one to send a clear written quote is in front by default. The other two are now competing against a number that already exists.
If you cannot send a quote on the day of the site visit, you are leaving money on the table. Trades who work from ready-made free quote templates typically send the quote before they leave the driveway. That is the standard now.
Structure that wins
Every winning quote has the same skeleton. Once you have a template, you stop reinventing it on each job and you stop forgetting line items.
- Header: your business name, logo, ABN or licence, contact details
- Client details: name, site address, date, quote number
- Scope: what you will do, in plain language
- Itemised pricing: labour, materials, access, disposal
- Inclusions and exclusions: what is in, what is not
- Total with GST clearly shown
- Validity period and deposit terms
- How to accept (signature, reply, link)
If your current quote document does not have all of those, that is your first upgrade. Not your prices.
Write the scope like a human
The scope is where you separate yourself from the cheap operator who sent a one liner. You do not need long paragraphs. You need clear sentences that show you understood the job.
Bad scope: "Renovate bathroom." Good scope: "Strip existing bathroom back to studs, install new waterproofing, supply and install client selected tiles to floor and walls, plumb and install new vanity, toilet, and shower, replace skirting and paint walls. Estimated 9 working days." The second one sounds like a plan. The first one sounds like a guess.
Price the right things, not everything
Itemising helps the client trust the number. Over itemising scares them. You do not need a line for every screw. You need enough breakdown that the client can see where their money is going, and enough flexibility that you are not arguing about a $ 12 fitting later.
A useful rule of thumb
Group your pricing into four to seven lines for most jobs. Labour, materials, equipment or access, disposal, and any specialist sub trades. If a client asks for more detail, you can supply it. But your default quote should be skimmable in thirty seconds.
Inclusions and exclusions protect the win
This is the most underused part of a quote. Spell out what is included and what is not. "Excludes painting, electrical work, and tile selection delays beyond 7 days." That single line stops half the disputes that ruin a job. Builders especially benefit from this, which is why quotes and invoices for builders always include exclusion lists by default.
Make the next step obvious
Tell the client exactly how to accept. "Reply yes to this email and pay the $ 800 deposit using the link below to lock in your booking for the week of the 14th." One sentence. No ambiguity. No "let me know if you want to proceed."
If you want to compare how this works in practice, you can check the totals in a free quote calculator before you send, so the structure holds up for builders, plumbers, electricians, painters, landscapers, and more.
Common reasons winning quotes lose
- Sent three days late
- No itemisation, just a total
- No GST shown clearly
- Vague scope that the client cannot picture
- No deposit terms or payment details
- No follow up after sending
Follow up without being annoying
If you have not heard back in three working days, send a short message. Not a sales pitch. Just "Hey, did you get the quote I sent on Monday? Happy to walk you through anything that wasn't clear." That one message recovers more jobs than any discount ever will.
The bottom line
Winning quotes are not magical. They are fast, clear, structured, and easy to say yes to. Build a template you trust, send it the same day, follow up once, and stop blaming price for losses that were really about presentation.
