Cleaning invoices stall when extras (oven, fridge, windows) are charged but not previously discussed, or when the recurring contract visit number is missing. The template below repeats every line from the quote on the invoice, plus the visit number for contract clients so they can match the bill to their contract record.
For end-of-tenancy work, the invoice should also reference the deposit-back standard so the client (or their property manager) understands the bar that was met. Detail-heavy invoices on tenancy cleans are paid faster because the property manager can sign off without a follow-up call.

Common mistakes on cleaners invoices
The patterns that quietly lose jobs, get queried at payment time, or leave money on the table.
Mistake: Extras billed without being on the quote
Better: Only bill extras that were on the quote and were performed. If the client asked for the fridge mid-visit, issue a variation invoice or note it on the main invoice with confirmation it was agreed.
Mistake: Recurring contracts billed with no visit number
Better: Show 'Visit 14 of 24 per maintenance contract'. Reminds the client where they are in the contract and supports renewal at year end.
Mistake: Minimum visit charge not flagged
Better: If a short visit triggered the minimum, state it: 'Minimum visit charge applied (travel + setup, contract clause 4)'. Stops the 'why is this so expensive' query.
Mistake: End-of-tenancy invoices without scope statement
Better: On EOT invoices, state 'Deposit-back standard met: inside cupboards, behind appliances, oven interior, window tracks all cleaned'. Helps the property manager sign off without a call.
Mistake: No due date stated
Better: Write 'Payment due within 7 days' on every one-off cleaning invoice. Monthly contracts: 'Payment due end of month'. Without it, clients drift.
Mistake: Travel levy missing on the invoice
Better: If the property is outside the standard radius, repeat the travel levy on the invoice. Otherwise the client thinks it was waived.

Cleaners invoice template questions
Everything cleaners ask before they switch to a structured invoice.
Quote or contract reference, scope completed, extras performed, supplies line, travel levy if applicable, minimum charge clause if applied, tax line, payment terms, and banking details.
One-off cleans: invoice on completion, same day. Contracts: invoice monthly in arrears (end of month for the visits in that month).
Residential one-off: 7 days from issue. Contracts: net 14 to 30 days from invoice date. End-of-tenancy: often paid by property manager on net 14 to 30. State the due date explicitly.
Either issue a variation invoice the same day, or add the extra as a line on the main invoice with a note that it was agreed on the day. Get a WhatsApp reply confirming before billing.
Inside cupboards, behind appliances, oven interior, fridge interior, window tracks, light fittings, door frames, baseboards, all bathrooms full deep clean, all kitchen surfaces and appliances. State it on the invoice so the property manager has the record.
Depends on your registration. Small operators below the VAT threshold often do not register and do not charge tax. Above the threshold (varies by country), tax is required. State your tax registration number on the invoice if registered.
