Mistake: Quoting regas without a leak test first
Better: If a unit is low on gas, there is a reason. Quote a leak check (pressure test + dye) as a separate line before the regas. Otherwise the gas leaks out in a month and you own the return trip.
Mistake: Not quoting for the dedicated circuit
Better: Most splits over 18,000 BTU need a dedicated circuit. State clearly whether you include it or it is client-supplied. Clarify in writing so you are not doing electrical work for free.
Mistake: Forgetting piping beyond the standard allowance
Better: Standard is typically 3 metres. Anything beyond is extra. List 'additional piping per metre' with a unit rate so scope changes are easy to price.
Mistake: Lumping service contracts into a single line
Better: Break contracts into the visit count, what each visit includes (filter clean, gas check, drain wash), and response-time commitments. Clients accept and renew clearly-specified contracts.
Mistake: No after-hours rate on the quote
Better: Publish your after-hours rate (typically 1.75x to 2x standard) on the document. Commercial clients will call on a Saturday. Show the premium up front, not on the invoice afterwards.
Mistake: Writing 'gas' instead of the type and weight
Better: R410A, R32, and R22 all price differently. Show the gas type and quantity. A line like 'R32, 500g' reads more professional than 'gas' and compares better against other quotes.
