About the template

What this painter quote template covers and why it wins more jobs

Painters lose jobs in the quote when prep is hidden inside 'labour' and paint grade is left unspecified. A homeowner choosing between three painters picks the quote that itemises every coat, every wall area, and the brand of paint, because it reads as competent. Vague lump-sum quotes invite haggling and lose to the painter who explained the work.

The template below itemises prep (fill, sand, spot-prime) as its own line, breaks paint coverage into walls, ceilings, and trim, names the paint brand and grade (Dulux Trade, Plascon Professional), and shows the number of coats per surface. Dark-over-light needs three coats. Trim and door frames need a different paint than walls. Each visible line makes the quote defensible and the scope clear.

Avoid these

Common mistakes on painters quotes

The patterns that quietly lose jobs, get queried at payment time, or leave money on the table.

Mistake: Lump-sum pricing on full repaints

Better: Itemise by room or area. Clients who see 'lounge: $ 180' and 'passage: $ 95' accept faster than those who see 'interior paint: $ 950'.

Mistake: Not accounting for prep time

Better: Prep often takes longer than painting. List filling, sanding, and priming as its own line at a per-sq-m or per-hour rate. It teaches the client that prep is real work, not free.

Mistake: Forgetting second coat coverage

Better: Dark over light (or the reverse) often needs three coats. State the number of coats on each line so scope cannot be disputed later.

Mistake: Using retail paint pricing

Better: Quote in trade-grade paint (Dulux Trade, Plascon Professional). It covers better and lasts longer. Client-supplied retail paint exposes you to colour and quality complaints.

Mistake: Fixed price with no colour change clause

Better: State that the quote includes one colour per room. Additional accent walls or colour changes after start are variations, not included.

Mistake: Underestimating ceiling height

Better: Double-volume entrances and high ceilings need scaffolding or taller access. Price scaffold or tower hire as its own line, not buried in labour.

FAQ

Painters quote template questions

Everything painters ask before they switch to a structured quote.

Site prep, wall prep (fill/sand/prime), ceiling and wall paint with coverage in sq m and coat counts, trim and door frames as separate lines, paint brand and grade, snag walk-through, tax, and deposit terms.

30 days is standard. Paint prices move with the exchange rate and oil price. State the validity so you can re-quote cleanly if the client returns after that window.

Always. Prep is often half the labour on a full repaint. Hidden inside 'paint walls', it gets undervalued. Shown separately, it educates the client and protects your rate.

Two coats for normal repaints. Three coats for dark-over-light, light-over-dark, or premium finishes. State the coat count on each line so the client agrees in writing before you start.

Yes. Trade-grade (Dulux Trade, Plascon Professional) is what professional painters use. Client-supplied retail paint shifts colour and quality risk to you, so either price your own materials or exclude paint and price labour only.

Yes for jobs over a few hundred dollars. 25 to 40 percent on acceptance covers paint and materials. State it in the quote terms.
