About the template

What this roofer invoice template covers and why it gets paid faster

Roofer invoices stall when provisional sums in the quote ended up bigger than the placeholder, or when stand-down days were billed at daywork without a paper trail. The template below itemises every variation against the per-metre or per-day rate already quoted, so the client can match each line to a clause they already accepted in writing.

Re-roof invoices also need the warranty handover stated on the document, because the warranty is often what closed the sale. List the system installed (two-layer APP, X-year warranty), the date of practical completion, and the conditions that void the warranty. Clients pay faster on roofing invoices that include the warranty than on bare-totals invoices, because they see the value of what they bought.

Common mistakes on roofers invoices

The patterns that quietly lose jobs, get queried at payment time, or leave money on the table.

Mistake: Provisional sums billed at the placeholder figure

Better: Bill provisionals on actuals at the per-metre rate already quoted. 'Provisional: rotten battens, actual 22m at $ 12/m' is auditable; '$ 264 lumpsum' is not.

Mistake: No warranty statement on the invoice

Better: State the system, warranty length, and conditions: 'Two-layer APP system, 8-year material warranty, voided by penetration without re-priming'. The warranty is the value, show it.

Mistake: Stand-down days billed without explanation

Better: Reference the weather contingency clause from the quote and the dates the crew stood down. Without the paper trail, the client argues it.

Mistake: Deposit not shown as a negative line

Better: Show the deposit as a negative line: 'Less deposit paid 12 May: -$ 4,945'. The client can verify what is still owed without flicking back to their bank statement.

Mistake: Scaffold not pro-rated for actual duration

Better: If the quote was 2 weeks of scaffold and the job ran 1.5, bill what was used. Over-billing scaffold is the first thing a client queries.

Mistake: Final invoice missing snag clearance line

Better: On bigger jobs, hold a snag sign-off line on the invoice: 'Snag inspection complete, no items outstanding'. Locks in completion and prevents post-payment claims.

FAQ

Roofers invoice template questions

Everything roofers ask before they switch to a structured invoice.

The original quote reference, roof area, tile spec, contract line, any provisionals billed on actuals, stand-down days at the quoted rate, deposits as negative lines, warranty statement, tax, payment terms, and banking details.

On practical completion for re-roofs (the moment the roof is watertight and signed off). On same-day completion for repairs. On deposit acceptance for any job over $ 3,000 to cover material costs upfront.

Bill on actuals at the rate already in the quote. If the quote said 'provisional batten replacement billed at $ 12/m on actual metres', the invoice shows the actual metres and the same rate. The variation is automatic, no negotiation needed.

Yes. State the system installed, warranty length, start date, and conditions that void it. Most warranty claims arise because the conditions were not stated, so document them upfront.

Only if a weather contingency clause was in the original quote. Reference the clause and list the dates. Without that clause in the quote, stand-down days are usually on you, not the client.

7 to 14 days on residential repair invoices. 14 to 30 days on big re-roof completion invoices with retention. State the due date on the invoice rather than assuming.
