What it means
A variation order (also called a change order or VO) is a written change to the agreed scope, raised when the customer asks for extra work after the original quote was accepted. Variations are how you protect yourself from scope creep on longer projects: every change has a price tag and a separate acceptance, so the customer cannot later argue the extra was 'always included'.
How to handle a variation
When the customer asks for a change, do not start work. Quote the variation as a brief one-page document with the additional scope, the new price, and any impact on the timeline. The customer accepts (or rejects) the variation in writing. Only then do you proceed. On the final invoice, the variations appear as their own lines so the cumulative cost is clear.
Variations that go wrong
The single biggest cause of unpaid construction disputes is variations that were done verbally and then disputed at invoice time. Always paper-trail. WhatsApp screenshot, email confirmation, or a signed page. No verbal variation.
How QuoteGenio handles variations
Issue a quick variation quote from the original quote in 30 seconds. The customer accepts on their phone. The variation flows through to the final invoice as its own line so reconciliation is automatic.
