What it means
A quote is a formal, written proposal that lists the work you will do, the materials you will supply, and the price the customer will pay. Once a customer accepts the quote in writing (signed, emailed reply, or WhatsApp 'yes'), it becomes the contract you both stand on. That is its single biggest advantage over an informal estimate, which is only a guess and is never binding.
When you'd use it
Use a quote any time the scope is clear enough to put a fixed price against it. A bathroom renovation, a fence install, a wedding photography package, a website build with a defined feature list. If you cannot quote a fixed price because the scope keeps shifting, you are better off quoting a day rate or providing an estimate with a clear caveat.
What every quote should include
Customer name and contact details. Your business details and banking. A unique quote number. Itemised lines so the customer can see what they are paying for. A validity period (14 to 30 days is standard). Payment terms and any deposit required. The acceptance method (signed copy or written reply).
