The AI Features That Actually Save Tradespeople Time

AI in a quoting app can save real hours, or it can be a shiny distraction. An honest per-feature evaluation of which AI tools earn their keep for tradies.

Every quoting app has AI on the pricing page right now. Every one. Some of the features genuinely save time on a busy trade week. Some are impressive on the demo and useless once you have a real week of quoting to get through. The pricing page will not tell you which is which because both categories look the same in a bullet list. This is the honest version.

The right question to ask before paying for an AI-heavy plan is not whether the feature exists, but whether it saves you time on a task you actually do more than once a week. Rare tasks do not benefit from automation, no matter how clever. Common tasks do, even when the automation is imperfect. You snap a photo of the site (a broken tile floor, an outdoor unit, a room to be painted), the AI reads the image and drafts line items with quantities. Fantastic for jobs where the visible scope really is the scope (painting, tiling, cleaning). Less useful for jobs where the real work is invisible (plumbing behind the wall, electrical fault tracing) because the photo cannot see the actual problem.

Verdict: yes for visual trades (paint, tile, clean, land). Skip for diagnostic trades. Do not upgrade for this feature alone if it does not fit your work shape.

3. Line-item suggestions while typing, saves small but constant time

As you type the first few characters of a line, the app suggests plausible completions from your history and from a trade-specific library (call-out fee, labour rate, common material lines). Not a moment of magic, but it saves 5 to 8 seconds per line across every quote for the rest of your quoting career. On 50 quotes a month that is around an hour a month of typing you never do.

Verdict: yes. This one is quietly one of the best-value AI features on any quoting tool because it fires on every quote, not just the ones with a big scope to dictate.

4. AI invoice wording, saves time but check the tone

The AI drafts the covering message for the invoice email or WhatsApp ("Hi Michael, please find your invoice for the geyser installation completed on Tuesday, details below"). Handy for the awkward jobs where you want to sound professional but do not have the energy to write it fresh. Downside: the default AI tone can read too corporate for a residential trade where clients expect you to sound like a person. Read every AI-drafted message before sending, at least for the first month, and tweak your tone preferences until the output sounds like you.

Verdict: yes, with a light hand. It is a starting draft, not a send-and-forget.

5. AI statement summaries, situational

For clients who owe you money across multiple invoices (recurring work, subcontract, staged builds), the AI writes a one-paragraph summary at the top of the month-end statement ("You have 4 open invoices totalling R 42,500 across three properties. Two are past due and one has a payment scheduled for next week"). Genuinely useful for commercial clients who forward the statement to a bookkeeper. Waste of a feature for a residential trade whose statements are just a single overdue reminder.

Verdict: yes for commercial-heavy trades. Skip for pure residential.

6. AI "quote from a plain-language description", usually a demo trick

You paste ("paint a three-bedroom house, sand and prime, two coats emulsion, cornices as new") and the AI generates a full quote with pricing. Impressive on stage, mostly not useful in a real quoting workflow because trade pricing is intensely local (your area, your suppliers, your labour rate) and no general model can guess your rates well enough to trust. Every quote it generates needs a full rate check, which erases the time you saved.

Verdict: mostly skip. The exception is when the app has learned your specific rates from your quote history and is generating from that data (that version can work). Ask on the demo whether the AI is using your rates or generic training-data rates. The difference matters.

The overall test

Before you pay for an AI-heavy plan, work through a normal week and count how many times each AI feature would have fired.
