The job is lost before you arrive on site more often than you think. Here's what's really happening, and how to fix it.
Most tradespeople assume they lose jobs on price. The research tells a different story. Studies of how clients choose tradespeople show that price is rarely the deciding factor. What matters more is how quickly you respond, how professional you appear, and how easy you make it to hire you.
Here are the real reasons clients go elsewhere, and what you can do about each one.
1. You responded too slowly
Studies consistently show that the first qualified tradesperson to respond often wins the job, regardless of price. If a client has to wait 3 days for a quote, they've already moved on. Speed is a competitive advantage.
If you can't quote on the spot, at least acknowledge the enquiry within an hour. 'Got your message, I'll send a quote tomorrow morning' is enough to keep you in the running while a slower competitor falls behind.
2. Your quote looked unprofessional
A handwritten note or a badly formatted spreadsheet tells the client something about your attention to detail, before you've done a single minute of work. First impressions are formed by the document, not the conversation.
Fix this once and it's fixed forever. Switch to a proper quoting tool, build a clean quote from one of the free quote templates, and use it for every job. Clients will notice. The quality of your work doesn't change, but the perception of your business does.
3. It was too hard to accept
If accepting your quote requires printing, signing, scanning, and emailing, many clients will quietly move on. Removing that friction with an online acceptance link directly improves your close rate.
Test it yourself. If a client wanted to accept your latest quote right now, how many steps would it take? If the answer is more than two, you're losing jobs you could be winning.
4. You didn't follow up
A client who hasn't responded to your quote is not necessarily a lost job. A simple, polite follow-up message within 24 to 48 hours wins back a significant percentage of 'silent' prospects. Most tradespeople never follow up. The few who do, win disproportionately.
5. The quote had no clear next step
Tell the client what to do next. 'Click the link below to accept this quote' is a call to action. 'Let me know if you have any questions' is not. Make the path to yes obvious. The clearer the next step, the more likely they take it.
6. You didn't show up to look at the job
Some jobs need an in-person assessment. If you quote them sight unseen, the client may take that as a signal you don't take the work seriously. For larger jobs, always offer to come and look first. The site visit alone often wins the job before you've even sent the quote.
7. You came across as rushed or distracted
Clients are inviting you into their home. They notice everything, including how present you are during the conversation. A tradesperson who answers the phone in the middle of the chat, glances at their watch, or seems desperate to get to the next job leaves a worse impression than one who is calm, focused, and unhurried.
8. Your communication style was off
Some clients want detailed technical explanations. Others want plain English. Some want to be reassured that you've done this many times before. Some want you to confirm the small details. Pay attention to what the client is actually asking for and adjust your response. The same answer doesn't work for every client.
9. You forgot to confirm what you'd do
After a site visit, send a short message confirming what you discussed, even before the formal quote. 'Thanks for meeting today. I'll send a quote by Friday for the bathroom work we discussed: new floor tiles, repaint walls, replace mixer tap. Let me know if I missed anything.' This builds trust and prevents misunderstandings.
10. You didn't ask for the job
Some tradespeople send a quote and stop. The clients who win consistently send a quote and explicitly ask for the work. 'I'd really like to do this job for you. Let me know if there's anything stopping you from saying yes.' It's a small thing, but it changes the conversation.
All ten of these are within your control. None of them require you to lower your price. Fix even three of them and you'll see a noticeable difference in how often you win work.
