The Quoting Workflow That Works for Solo Operators

The Quoting Workflow That Works for Solo Operators

If it is just you in the van, your quoting workflow needs to be fast, repeatable, and impossible to forget. Here is the system that works.

When you are a one person operation, every quote competes with the work in front of you. The site you are on right now is paying you. The quote in your inbox is not. So quoting slips, follow ups slip, and good leads go cold.

The fix is not working harder. It is having one workflow you run every time, ideally finished before you leave site for the day.

The five step solo workflow

Every enquiry should move through the same five steps. If a step gets skipped, the quote either does not go out or it goes out with mistakes.

  • Capture the enquiry in one place
  • Qualify the job in a two minute phone call
  • Site visit or photo brief
  • Send the quote within 24 hours
  • Follow up at day three and day seven

That is it. Five steps. The trick is doing them every time, in the same order, without trying to remember anything in your head.

Step one: capture every enquiry

If leads come in across phone, WhatsApp, email, and the contact form on your website, you will lose some. Pick one place where every enquiry lives. A simple notes app works. A quoting tool works better because it links the enquiry to the quote later.

Solo handymen often miss this step. They reply on whichever channel the enquiry came in on, and three weeks later they cannot remember if they ever quoted that bathroom or not. Centralise it from day one, and lean on free quote templates so each enquiry turns into a quote without starting from scratch.

Step two: qualify in two minutes

Before you drive anywhere, ring the customer. Two minutes on the phone tells you whether the job is real, whether the budget is realistic, and whether the customer is going to be a nightmare.

Ask three questions. What is the job. When do you want it done. Have you had other quotes. The answers tell you everything. If they want it done in three weeks but already have four quotes, you are bidding low. Walk away or quote at full price.

Step three: site visit or photo brief

Solo tradies cannot afford to drive across town for every $ 400 job. For small work, ask for photos and a few measurements. WhatsApp is perfect for this. For anything over $ 2,000 or anything structural, go and look.

When you do visit, take photos of everything. Existing pipework, the meter board, ceiling height, access. Solo electricians save hours by quoting from photos in the van between jobs rather than driving home and doing it on the laptop at 9pm.

Step four: send the quote within 24 hours

This is where solo operators win or lose. The first quote in the door takes the job around 40 percent of the time, even when it is not the cheapest. Speed beats price more often than tradies expect.

What a fast quote looks like

  • Customer name and site address
  • Clear scope of work in plain language
  • Itemised pricing for labour and materials
  • What is included and excluded
  • Payment terms and deposit amount
  • Quote validity (usually 30 days)

If you are still typing quotes from scratch in Word, you are giving away time you do not have. Working from free quote templates, a solo plumber can build a quote on their phone between jobs and have it in the customer's inbox before they have left site.

Step five: follow up at day three and day seven

Most solo tradies send the quote and then do nothing. The customer goes quiet, you assume you lost it, and you move on. Half the time they were just busy and forgot.

Two follow ups will lift your conversion by 15 to 25 percent. Day three: short check in. Day seven: gentle nudge with a deadline. Beyond that, leave it.

Sample follow up

"Hi Sarah, just checking in on the quote I sent on Tuesday for the bathroom reno. Happy to answer any questions or adjust the scope if needed. Quote is valid until the 28th."

Building this into your day

The workflow only works if it fits around the actual work. Most solo operators run quotes in two windows: a 30 minute slot at lunch and a 45 minute slot after dinner. That is enough to send two or three quotes a day, which is enough to fill a healthy pipeline.

If you want to compress that further, look at the tools other solo tradies use. A free quote calculator takes the maths out of pricing, so a quote at lunch is genuinely a 30 minute job.

The bottom line

Solo operators do not need a complicated quoting system. They need one simple workflow they can run on autopilot. Capture, qualify, visit, quote, follow up. Five steps. Every enquiry. Every time. Do that for three months and your conversion rate will climb without you doing anything else differently.
