From line items to terms and conditions, the essentials a professional quote template needs to win jobs and protect your margin.
A quote is the first time most clients see how you do business. Before they sign, before you do any work, they get one document and form an opinion. That opinion drives whether they accept your number, push back on the price, or quietly ghost you for the trade who sent a cleaner-looking quote yesterday. The template you use is doing more sales work than you think.
The good news is that what makes a quote template look professional is not artistic, it is structural. Eight or nine pieces, arranged in the right order, with clean typography and your branding consistent throughout. Get the structure right and a quote that took two minutes to write reads as if it came from a 20-year operation. Get it wrong and even a perfectly priced job looks suspect.
The header: what tells clients you are real
The top of the document does the introduction. Your business name, logo, contact details, registration or VAT number where applicable, and the date the quote was issued. Plus a unique quote number, which sounds boring but signals that you keep records and have done this before. Skip the quote number and you immediately look like a side hustle.
Client information sits on the other side: their name, the project address if different, their contact details. The detail that most templates miss is making the From and Bill To columns visually equal, so the client feels treated as a peer rather than someone you are talking down to or up to.
Line items: how the work is broken down
The body of the quote is the line items. Three columns at minimum: description, quantity (with units), and price. Most quotes look better with a fourth, the line total, so the client can verify the maths without doing it themselves.
The description column does more work than the others. A line that says "plumbing" tells the client nothing and invites a negotiation. A line that says "Install 2 x basin mixers in main bathroom, remove and dispose of existing, water test on completion" tells them exactly what they get and removes the room to argue. The longer the description, within reason, the harder it is for the client to claim it should have included something extra.
Totals and tax
Subtotal, tax (VAT, GST, or whatever applies in your market), and a final total that is clearly the headline number. The total should be larger than every other figure on the page and visually distinct. Most templates use a coloured bar or a bordered box so the eye lands on the right number.
If your market splits the price into ex-VAT and incl-VAT, show both. Confused tax presentation is one of the most common reasons clients delay a decision ("is that the price with VAT or without?").
Deposit and payment terms
Most professional quotes name a deposit (typically 30 to 50 percent for sub-$5,000 jobs, staged payments above that) and the payment terms after completion ("balance due on completion" or "net 14 days"). Skip this and the client assumes whatever feels generous to them, which is usually "pay at the end, in cash, when convenient."
The deposit line is also where you protect yourself from the client who changes their mind after you have ordered materials. Make it non-refundable on accepted quotes, in writing, in the same font as everything else, not buried in five-point text.
Validity period
A quote without a validity date is a quote that can be honoured next year, after your costs have moved. Standard practice is 30 days for most jobs, 14 days for fast-moving supply categories, 60 to 90 days for large builds where the client needs to arrange finance. Print it on the document next to the issue date.
Scope and exclusions
Spell out what is included so there is no doubt. Then spell out what is not, especially the items clients commonly assume are part of the job (rubbish removal, parking, after-hours work, the second coat of paint, the warranty). A quote with a clear exclusions line stops 80 percent of "but I thought that was included" arguments before they start.
Banking details and notes
Banking details on the quote save the awkward chase after acceptance. Notes is where you put the human touch, a one-line thank you, the timeline you have in mind, the date you could start. Not essential, but quotes that have it convert better than quotes that do not.
Visual design: the things clients notice but cannot name
Consistent typography (one font family throughout, two weights), enough whitespace that the page does not feel cramped, alternating row shading on the line items so the eye tracks across rows, and your logo and brand colour appearing in a small accent (not painted across the whole document). A clean quote on the right template looks worth 30 percent more than the same numbers in a Word doc with the previous client's name still in the footer.
Common mistakes
- No quote number (looks like a one-off side hustle)
- No validity date (the quote drifts forever)
- No deposit line (you front-load the risk on every job)
- Vague line item descriptions (invites price negotiations on every line)
- Total hidden in the line items instead of called out (client has to hunt for the number)
- Tax presentation unclear or missing (delays the decision)
- Banking details on a follow-up email instead of the quote (extra friction at the worst moment)
