The moment you register for VAT, every quote you send has to make a decision: is the price you are showing the client inclusive of VAT, or exclusive of it? It sounds like a small detail. It is actually one of the most consequential pricing choices you make, because it changes what the client sees, what they expect to pay, and whether they feel like the price quietly went up at the till.
Get it right and the question of tax barely comes up. Get it wrong and you end up either eating the VAT yourself (giving up 15 to 20 percent of your margin) or making the client feel like they got a bait-and-switch when the invoice arrives. Here is the plain English version of how it works, when to use each, and the wording that keeps you out of trouble.
What inclusive actually means
Inclusive of VAT means the price you are quoting already contains the tax. If you quote $1,150 inclusive and your VAT rate is 15 percent, the client pays $1,150 in total. Of that, $150 is the VAT you owe the tax authority, and $1,000 is yours to keep before other costs. Inclusive pricing answers the client's real question: what does this job cost me?
It is the natural format for private homeowners, retail customers, and anyone who is not VAT-registered themselves. They cannot reclaim the VAT, so they only care about the total they have to pay. A clean inclusive quote shows them that number directly, with the tax breakdown as supporting detail.
What exclusive actually means
Exclusive of VAT means the price you are quoting does not include tax. If you quote $1,000 exclusive at 15 percent VAT, the client pays $1,150 in total. Same maths, different framing. Exclusive pricing makes the cost look lower at first glance, which is why it is preferred for business clients. They are not paying the VAT in any real sense (they reclaim it), so they want to see the net cost to compare to other quotes.
If you quote business clients inclusive prices, your quote looks 15 to 20 percent more expensive than the competitor who quoted exclusive. You lose the job for a reason that has nothing to do with the quality of the work or the actual cost to the client. Match the format to the audience.
When to quote inclusive
- Private homeowners on residential work (kitchens, bathrooms, repairs, extensions on a private home)
- Retail customers buying anything where they expect a 'walk-out' price
- Maintenance and small jobs where the customer wants to know the cheque amount
- Quotes published on a website or marketing material aimed at the public
If the person reading the quote cannot reclaim VAT, quote inclusive. Anything else is technically correct but practically misleading.
When to quote exclusive
- Business clients who are VAT-registered (offices, retail premises, landlords, other tradespeople)
- Commercial property work, fit-outs, or maintenance contracts
- Government, public sector, and large institutional clients
- Any client who has asked for an exclusive figure to compare against other quotes
Business clients run the maths in net terms because that is what shows up on their books. Quote them inclusive and they will mentally back the VAT out anyway. You may as well show the number they care about up front.
The hybrid approach that works for everyone
When you do not know which kind of client you are dealing with, or when you want to be clear with both kinds at once, show both numbers. A clean format looks like this:
- Subtotal (excluding VAT): $1,000
- VAT at 15 percent: $150
- Total (including VAT): $1,150
Three lines. No confusion. The business client reads the subtotal, the homeowner reads the total, and both feel like the quote is honest because nothing is being hidden. This is the safest default for any tradesperson who deals with a mix of private and business clients.
How to switch a price between inclusive and exclusive
The maths is small but easy to get wrong in your head. Two formulas:
- Exclusive to inclusive: multiply by (1 + VAT rate). At 15 percent: $1,000 * 1.15 = $1,150.
- Inclusive to exclusive: divide by (1 + VAT rate). At 15 percent: $1,150 / 1.15 = $1,000.
