How to Issue Credit Notes Correctly

How to Issue Credit Notes Correctly

A credit note is the right way to fix or reverse an invoice. Here is when to use one, what to put on it, and how to keep your books clean.

If you have ever overcharged a client, billed the wrong job, or had to cancel work after the invoice went out, you need a credit note. Deleting or editing the original invoice is not the answer, especially once it has been sent or paid.

A credit note is a separate document that reduces or reverses a previous invoice. Done properly, it keeps your books accurate, your tax position clean, and the client happy.

When to issue a credit note

Use a credit note any time you need to reduce the amount a client owes you on an invoice you have already sent. Common situations:

  • You overcharged on materials or hours
  • The client returned materials you supplied
  • Part of the job was cancelled after invoicing
  • There was a duplicate invoice
  • You agreed a goodwill discount after the invoice went out
  • A defect was reworked at no charge and the original line item needs reversing

Tradies use credit notes for the same reasons across every trade: a colour change, a returned tile box, or a section of work removed from scope. A consistent set of free quote templates keeps your numbering and layout the same on every document.

What a proper credit note includes

A credit note looks similar to an invoice but with negative amounts. Include the following:

  • The words "Credit Note" clearly at the top
  • A unique credit note number
  • The date issued
  • Your business name, address, and tax number
  • The client's name and address
  • Reference to the original invoice number and date
  • Reason for the credit (one short line)
  • Line items being credited with quantities and amounts
  • Subtotal, tax, and total credited

The credit note number should follow its own sequence. Do not reuse invoice numbers or stick a CN on the end of an invoice number. That gets messy at year end.

Sample credit note wording

Keep the reason short and factual. A few examples:

"Credit for 2 boxes of porcelain tiles returned to supplier. Reverses Invoice 2026-118 line 3." Amount: -$ 240.

"Pricing correction. Original invoice charged 12 hours labour, actual hours worked were 9." Amount: -$ 285.

"Goodwill credit on master bedroom rework following final inspection." Amount: -$ 400.

Send the credit note as a PDF, the same way you sent the original invoice. Reference both the original invoice number and the credit note number in the email subject line.

How credit notes affect tax

If you charge VAT or GST, the credit note also reverses the tax on the original invoice. Most tax authorities require credit notes to be issued within a set period after the original invoice, so do not sit on it.

When you do your tax return, the credit note reduces both your sales total and the tax payable. If the original invoice was already paid, you either refund the difference to the client or apply it to the next invoice. Both options work, but the client should agree to it in writing.

Whatever your tax position, your quoting and invoicing platform should let you raise credit notes against existing invoices in two clicks. QuoteGenio supports quotes and invoices for plumbers and every other trade with this built in.

Refund vs credit applied to next invoice

When to refund cash

If the client has paid in full and you are not doing further work for them, refund the money. Note the refund on the credit note and reference the bank transaction.

When to apply to next invoice

If you have ongoing work, applying the credit to the next invoice is cleaner. Just show the credit note as a deduction on the next invoice with its number and date so the trail is obvious.

Common mistakes

  • Editing or deleting the original invoice instead of issuing a credit note
  • Issuing a credit note without referencing the original invoice number
  • Forgetting to reverse the tax
  • Not sequencing credit notes properly, so two share the same number
  • Applying a credit verbally without paperwork, then forgetting at year end

Plumbers and roofers often run into credit notes after a defect callback or a price correction on materials. Whether you work across the construction and building trades or a notepad, the rules are the same: paper trail, sequential numbering, tax reversed.

The bottom line

Credit notes are not a sign you did anything wrong. They are how grown-up businesses fix mistakes and keep records clean. Issue them quickly, reference the original invoice, give a one-line reason, and store them with the rest of your accounts. Your bookkeeper, your accountant, and the tax office will all thank you.
