Chasing money does not have to feel awkward. A simple sequence of polite follow-ups gets most overdue invoices paid without burning the relationship.
Chasing late payments is the part of running a trade business nobody enjoys. You did the work, the invoice is overdue, and now you have to ask for your own money like you are the one in the wrong.
The good news is most clients pay after the first polite reminder. The trick is having a sequence you actually use, instead of stewing over it for two weeks and then sending a passive aggressive text.
Why polite works better than angry
Most overdue invoices are not deliberate. The client forgot, the bookkeeper is on leave, the bill got buried in their inbox. Coming in hot turns a paperwork problem into an argument, and arguments slow payments down.
The clients who actually intend to dodge you are rare. For everyone else, a clear and friendly nudge does the job.
The 4-step follow-up sequence
Step 1: Day the invoice goes overdue
Send a short, friendly reminder. Tone matters. Assume good faith.
"Hi Sarah, just a quick note that invoice 2026-094 for $ 1,840 was due yesterday. Could you let me know when payment will be processed? Banking details are on the invoice. Thanks for your help."
Step 2: 7 days overdue
Reattach the invoice as a PDF. Same friendly tone.
"Hi Sarah, following up on invoice 2026-094 which is now a week overdue. I have reattached it for convenience. Please let me know if there is anything I can do to help process this. Thanks."
Step 3: 14 days overdue
Pick up the phone. Do not text, do not email. A two minute call clears most of these up because the client cannot ignore it.
"Hi Sarah, just calling about invoice 2026-094, which is two weeks overdue. I wanted to check there is no issue on your end and find out when I can expect payment."
Step 4: 21 days overdue
Now the tone shifts from friendly to formal. Email and post if you can.
"Hi Sarah, invoice 2026-094 dated 14 January is now 21 days overdue. As per the terms on the invoice, late fees apply from today. Please confirm payment will be made by Friday or arrange a payment plan. If we do not hear from you, we will refer the account for collection."
Automatic reminders save you having to remember any of this. QuoteGenio supports quotes and invoices for plumbers and other trades, sending the polite nudge on day 1, day 7, and day 14, so you only get involved when it gets serious.
Common excuses and how to handle them
- "I never got the invoice." Resend it from your accounting tool with a read receipt and CC a second contact
- "My bookkeeper is away." Ask for the bookkeeper's email and copy them in. Then ask the client to authorise payment by reply
- "Cash flow is tight." Offer a payment plan in writing with two or three instalments. Better than zero
- "I have a query on a line item." Ask for the query in writing. Pay the undisputed portion now, hold the disputed line for review
- "I will pay next week." Get a date and put it in the calendar. Follow up that day if it does not land
When polite stops working
If you have done the four steps above and the client is still ducking you, you have three escalation options:
First, a formal letter of demand. This is a standard one-page letter giving the client 7 days to pay before further action. Templates are easy to find online and the wording matters less than the fact you sent it.
Second, a debt collection agency. They charge a percentage of recovered amounts, usually 15% to 30%. For invoices over $ 1,500 it is often worth it.
Third, small claims or tribunal. The threshold varies by country, but for trade work the small claims process is usually quick and you do not need a lawyer.
If you find yourself escalating regularly, the problem is upstream. Tighter payment terms and bigger deposits stop most of these problems before they start.
How to make this easier on yourself
- Set Net 7 instead of Net 30 by default
- Take deposits on every job over $ 1,000
- Send invoices the day the work finishes, not at the end of the month
- Use software that auto-sends polite reminders
- Keep a one-line note on each client about how they pay
If you are doing this from a notepad, you will forget. The whole point of running on QuoteGenio is that the boring follow-up happens whether you remember or not. Builders running multiple jobs benefit too, with free quotes and invoices for builders handling reminders across every active project.
The bottom line
Chasing money does not have to be uncomfortable. Have a sequence, send the first reminder the day the invoice goes overdue, and stay friendly until you cannot. Most invoices clear in the first or second nudge, and the few that do not get the formal treatment they deserve. Keep the system small, keep it consistent, and the cash will come in.
