Get the client to sign off the job on their phone before you leave. Fewer disputes, faster payment, and proof if anything goes wrong.
Most payment disputes do not start with a dishonest client. They start with a fuzzy memory. Three weeks after the job, the invoice lands, and the client remembers the price from the first conversation, not the extra outlet they asked for on the day. Nobody wrote it down, nobody agreed it in writing, and now you are arguing about a job you finished happily a month ago.
Client sign-off fixes this at the cheapest possible moment: while you are still on site and the client is standing next to the finished work. It takes 30 seconds, it costs nothing, and it turns "that is not what we agreed" into "you signed it on the day".
What client sign-off actually is
Sign-off is the client confirming, in writing, that the job is done the way they wanted. On paper it is a signature at the bottom of a job sheet. On a phone it is the client typing their name and signing with a finger on a page that lists what was done.
A good sign-off records four things:
- What was done: the tasks from the quote, ticked off.
- What was added: any extra work the client asked for on the day, with its price.
- Who signed: the client's name, in their own hand.
- When: the date and time, recorded automatically.
That is all. It is not a contract and it does not need legal language. It is a dated record that the person paying saw the finished job and was happy with it.
Why disputes happen after the job, not during it
On site, the client is pleased. The leak has stopped, the lights work, the wall is painted. The problems arrive later, when three things have changed.
The memory fades
The client remembers the quote total, not the conversation where they asked you to fit a second tap while you were there. Without a record, your word is against theirs.
Someone else gets involved
A partner, a landlord or an office manager who was not there sees the invoice and asks why it is higher than the quote. The person who agreed the extra work is not the person paying.
Something unrelated goes wrong
A week later a different pipe drips, and suddenly your work is in question. A signed record of what you did, and what the client accepted, separates your job from whatever happened next.
Make sign-off part of the last five minutes
Sign-off only works if it happens every time, so it has to fit into how you already finish a job. A routine that takes under five minutes:
- Tick off the tasks on the job as you finish them, not from memory at the end.
- Add any extra work the client asked for, with a price, before you pack up.
- Take two or three after photos of the finished work.
- Hand the client your phone, or send them the job link, and ask them to sign.
- Leave once the signature is in, and send the invoice the same day.
The ask itself is easy if you make it normal: "Before I go, can you just sign that it is all done? It goes straight into your invoice." Clients sign delivery notes and parcel scanners every week. A job sign-off feels no different.
Get extra work approved before you do it
Sign-off at the end is strongest when the extra work was approved during the job. If the client asks for something new halfway through, add it as a separate line with its price and get a quick yes before you start. A tap on a link, a WhatsApp reply, anything written.
Then the final sign-off simply confirms what was already agreed. There are no surprises on the invoice, because every line on it was either in the quote or approved on the day. That is the single biggest cut in disputes most tradespeople ever make.
Paper sign-off versus phone sign-off
A carbon-copy job book works, and plenty of tradespeople still use one. The trouble is everything around it: the book gets wet, the page gets lost, and when a dispute comes up two months later you are digging through a van to find it.
A phone sign-off is stored with the job, next to the quote, the photos and the invoice. When a question comes up, the answer is one search away. With job cards with client sign-off, the client signs on their own phone from a link, and the signature, their name and the time are saved to the job automatically.
What to do if a client will not sign
Occasionally a client hesitates. That is useful information: it means something is not right, and it is far better to find out while you are still there with your tools.
- Ask what is bothering them, and fix it now if it is small.
- If it is outside the job, note it on the job card in writing and agree how to handle it.
- If they are simply busy, send the link and ask them to sign when they have checked the work.
- Never argue on site. Write down what was said, take a photo, and follow up by message.
A client who refuses to sign and will not say why is rare. When it happens, your notes and photos from that day are what protect you.
Sign-off gets you paid faster too
Sign-off is not only defensive. A signed job is a finished job, and a finished job can be invoiced right away. Tradespeople who invoice the same day tend to be paid sooner, simply because the job is fresh in the client's mind and there is nothing left to question.
It also tidies up your admin. When sign-off, photos and extra work all sit on the job, turning it into an invoice is one step rather than an evening of paperwork. That matters most in busy trades with lots of small jobs, which is why quotes and invoices for plumbers and electricians are built around that same quote, job and invoice flow.
How QuoteGenio handles client sign-off
In QuoteGenio, every job card has its own link for the client. They open it on their phone, see the booking, the work done and any extra work, then type their name and sign with a finger. The signature and time are saved to the job, the job is marked signed off, and you can turn it into an invoice in one tap. If the client asks for something extra on the day, you add it to the job and they approve it from the same link before you start. You can try it on the free plan, with no card needed.
