What a Free Quoting Tool Should Actually Include

Every quoting app calls itself free. Most of them lock the useful features behind a paywall. The seven capabilities that separate a real free plan from a demo.

Every quoting app calls itself free. The word does a lot of work in that sentence. Some of them mean a 14 day trial that becomes a monthly bill on day 15. Some mean a plan with the useful features locked out. A few really do mean free, forever, for the volume most solo trades actually run at. Telling them apart before you sign up saves a lot of Sunday-afternoon regret.

The check is not the price tag, it is the capability list. A trade business needs a fixed set of things to run its quoting workflow. If a free plan ships those, it is really free. If it strips them out and asks you to upgrade for what you would use every day, it is a demo dressed as a plan. Here is the list to run through before you commit.

1. Unlimited PDF export, not previews

Some free plans let you build a quote but export it with a watermark, a QuoteGenio-style banner across the header, or a page limit. That saves you nothing. The client sees a quote that looks like it came off a free tool, and you lose the small gain in perceived professionalism that a proper PDF was supposed to buy you.

A legitimate free plan gives you a clean, branded PDF (your logo, your details, no third-party marks) on every quote. If the tool wants to charge for that, it is charging for the thing you were trying to get in the first place.

The single biggest jump in conversion comes from letting the client accept online instead of replying to an email. If your free plan makes them download, sign, scan, and email back the PDF, you are back to Word doc territory. If the accept-online button is a paid feature, the free plan is not solving the actual bottleneck in your workflow.

3. WhatsApp send

Most residential trades run their client relationships on WhatsApp. The channel matters. A free plan that only sends by email, or only lets you copy a link and paste it into WhatsApp yourself, adds friction on the send that a client-facing polish cannot make up for.

Native WhatsApp send (a share button that pre-fills the message and the link) should be on the free plan, not the premium.

4. Quote-to-invoice conversion

Once the client accepts, you need to turn the quote into an invoice. This should be a single tap, not a re-type. Free plans that let you send quotes but require you to build the invoice from scratch quietly cost you the whole workflow: you either skip invoicing (bad for cashflow), or you drop back to Word for invoices (bad for consistency).

The free plan should carry the whole loop, quote to accepted to invoice, without asking you to upgrade at the last step.

5. A line item library

Speed comes from a saved library of the 8 to 12 items you use on every quote. A free plan without one is a slightly nicer Word template. With one, the second quote of the day is a two minute job. A real free quoting tool for tradespeople ships the library on the free tier because it is where the value actually shows up on day two.

6. View tracking

The moment a client opens the quote is the single most useful signal in the whole workflow. It tells you when to follow up: not too early, not too late. Free plans that gate view tracking behind an upgrade are gating the follow-up decision, which is where most trades lose jobs.

This one is small on the pricing page and huge in practice. Check for it.

7. A generous monthly volume, not a five-quote ceiling

A free plan capped at three quotes a month is not a free plan, it is a taste. Even a solo tradie sending one quote a week hits the ceiling by the third week. Look for volume that fits a real month of quoting for your business size: five to ten quotes a month for very early stages, more for busier trades. If you outgrow it, upgrading feels earned, not extorted.

One capability that is almost never on the free tier, and that is fine

AI quote generation from a plain-language description is often a premium feature, and reasonably so. It runs real inference costs on every quote. If your free plan does not include it, that is not a red flag. Everything else on this list, however, should be.

The trial trap

Watch the language: if the pricing page says 'free trial' or 'free for 14 days,' that is a paid plan starting on day 15 unless you cancel. That is not a free plan and it will bill you. A real free tier says 'free forever,' or gives a per-month capability like '5 quotes a month free.' Read the fine print before you enter card details, and prefer plans that do not ask for a card at all on signup.
