Free quote templates can get you started, but most have limits that cost you jobs. Here's what a good template needs, where free ones fall short, and when to move on.
Every new tradesperson looks for a free quote template at some point. It makes sense. You've just started out, money's tight, and you don't want to pay for software when a Word or Excel template can do the job. The problem is most free templates are worse than they look. They miss important fields, format badly on mobile, and quietly make your business look amateur.
This guide covers what a proper quote template needs to include, where free templates fall short, and when it's time to move on to something better.
What a quote template should include
At a minimum, every quote template needs these sections. If yours is missing any of these, fix it before sending another quote.
- Your business name, logo, contact details, and registration number
- The client's name, address, and contact details
- A unique quote number
- The date and a validity period
- A clear job description
- Itemised line items for labour, materials, call-out, and anything else
- A subtotal, tax (if applicable), and final total
- Payment terms (deposit, balance, due dates)
- How the client can accept (signature, email reply, online acceptance)
A template that has all of these already built in saves you time and makes every quote consistent. A template that's missing half of them means you're typing the same fields over and over for every new job.
Common mistakes with free templates
Most free quote templates floating around online were made by someone who isn't a tradesperson. They look fine but cause real-world problems when you use them day to day.
- Totals don't auto-calculate, so a typo in a line item breaks the maths
- No quote numbering system, so you can't track quotes later
- Bad mobile formatting, so clients can't read them on phones
- Generic branding that makes every trade's quote look the same
- No way to convert accepted quotes into invoices
- No record of when the client viewed or accepted the quote
You can work around some of these with discipline, but discipline is the first thing to slip when you're on site at 6pm trying to send a quote before dinner.
Why spreadsheet templates fall apart fast
Excel and Google Sheets templates feel powerful because they can do maths for you, but a purpose-built free quote calculator does it better. They fall apart for three reasons. First, they don't look like a professional quote when converted to PDF. Margins shift, logos distort, and fonts break. Second, they're fiddly on phones, and most quoting happens on the go. Third, they don't manage the workflow. There's no way to see which quotes are outstanding, accepted, or rejected. You're juggling files in a folder.
Word templates are prettier but worse at maths. If you update a line item, you have to recalculate the total by hand, which is how errors creep in and how quotes end up looking wrong.
When to move past templates
Free templates are fine for your first five or ten quotes. Once you're sending quotes every week, the time they cost you outweighs the money they save. A proper quoting tool costs less than an hour of your labour per month and saves you five to ten hours of admin time in return.
The signals that you've outgrown a template: you're losing track of which quotes are outstanding, you're making pricing mistakes, you're sending quotes that look different each time, or clients are complaining that PDFs look wrong on their phones. Any of those is the moment to upgrade.
What to look for in a template alternative
When you move past templates, don't over-complicate it. A good quoting tool for a sole trader has to be fast on mobile, send proper PDFs, handle the maths for you, and let you convert accepted quotes to invoices in one tap. Anything more complicated than that is designed for bigger businesses and will slow you down.
